Terms of service
Last updated: 21 September 2026
These terms are the agreement between you and McGehearty Holdings LLC ("DM Workbench", "we") for the use of dmworkbench.com and app.dmworkbench.com. By creating an account you agree to them. If you don't agree, don't use the service.
DM Workbench is a tool for preparing and running tabletop roleplaying games: a canvas of cards, maps, documents, session records and the AI features that work on them. We add, change and remove features over time. We'll tell you before a change that takes away something you're paying for.
You need to be at least 16 to hold an account. Give us a working email address, keep your password to yourself, and tell us at support@dmworkbench.com if you think someone else has got into your account. You're responsible for what happens under it. An account is for one person.
Everything you write, upload, import, record or generate in DM Workbench is yours. We claim no ownership of it.
You give us permission to store it, back it up, display it to you and to the people you share it with, and process it to run the features you use, including sending it to the processors named in our privacy policy when you press a button that needs them. That permission ends when you delete the content or your account, apart from backups, which age out within 90 days.
We don't sell your content, we don't publish it, we don't use it to train AI models, and our agreement with Google says they don't either.
Your campaigns are private to your account. Nothing you upload is shown to, pooled with, or used to build content for any other customer. What your players see is what you choose to show them in the player view.
Only upload, import or paste material you have the right to use that way: work you made, work you bought or licensed for your own use, or work under an open licence. Buying a rulebook or an adventure gives you the right to use it at your table. It doesn't give you the right to distribute it, and DM Workbench isn't a way to do that.
When you upload something, you're telling us you have that right. If a rights holder tells us otherwise, we follow the process in our copyright policy, and accounts that repeatedly infringe are closed.
Session transcription, write-ups, module import, Brainstorm, "Fill in with AI" and generated pictures run on a third-party model. Each one runs only when you ask for it, and nothing it produces is added to your campaign until you accept it.
AI output can be wrong, can resemble existing work, and can miss things. Read it before you rely on it. As between you and us, what the AI features produce for you is yours to use, including commercially, to the extent the law allows anyone to own it. We make no promise that generated text or pictures can be copyrighted or that they don't resemble someone else's work.
Don't use the AI features to produce content that is unlawful, that sexualises minors, that harasses a real person, or that the model provider's own policies prohibit. The provider may refuse a request; when it does, we show you its reason.
The built-in rules content comes from open-licensed sources: the D&D 5.1 and 5.2 System Reference Documents, Pathfinder 2e, Starfinder 2e, Tales of the Valiant, Basic Roleplaying and the Forged in the Dark SRD. Each is used under its own licence, and the attribution each licence requires is shown in the app. DM Workbench is not affiliated with, endorsed by or sponsored by the publishers of those games, and their names and trademarks belong to them.
| Topic | How it works |
|---|---|
| Free plan | One active campaign, no time limit, no card. |
| Trial | 14 days of a paid plan with no card. Nothing is charged until you enter one. When the trial ends without a card, the account moves to the free plan. |
| Paid plans | Table, Campaign and Studio, billed monthly or annually in advance through Stripe, at the prices on the pricing page when you subscribe. Plans renew automatically until you cancel. |
| Metered AI features | Each plan includes a monthly allowance of the metered features. The meter refills at the start of your next billing month. Usage past the allowance is charged only if you have switched that on. |
| Cancelling | Cancel any time from the Plan page. You keep the paid plan until the end of the period you've paid for, then the account moves to the free plan. |
| After cancelling | Nothing is deleted. You choose one campaign to keep active; the rest are saved read only, exactly as you left them, and open again if you resubscribe. |
| Refunds | Payments are not refundable except where the law requires it. If something went wrong, email support@dmworkbench.com within 14 days of the charge and we'll put it right. |
| Price changes | We'll email you at least 30 days before a price change applies to your subscription. It takes effect at your next renewal, and you can cancel before then. |
| Taxes | Prices exclude sales tax, VAT and similar taxes, which are added where they apply. |
Don't break the law with the service. Don't try to get into anyone else's account or data. Don't probe, scrape or overload the service, get around plan limits or the meters, or resell access. Don't upload malware. Don't use the service to store or share material that sexualises minors, or to harass anyone. We may suspend an account that does any of these, and we'll tell you why unless the law stops us.
We work to keep DM Workbench running and your data safe, and we back it up. We don't promise it will never be down, and we don't promise against every loss. You can download the files you've uploaded and save documents and canvas views as PDF from the app, and we'll send you a copy of your content on request at support@dmworkbench.com.
You can delete your account from the Account page whenever you like. Deleting it deletes your content, as the privacy policy describes.
We can suspend or close an account that breaks these terms, that repeatedly infringes copyright, or whose payments fail and stay failed. Where we can, we'll warn you first and send you a copy of your content if you ask for one. If we ever shut the service down, we'll give at least 60 days notice and provide a copy of your content on request until the end.
The service is provided as it is. To the extent the law allows, we make no warranties beyond what these terms say, including about fitness for a particular purpose or about AI output.
To the extent the law allows, our total liability to you for anything connected with the service is limited to the greater of what you paid us in the 12 months before the claim and US$50. We aren't liable for indirect or consequential losses or lost profits. Nothing here limits liability that the law says can't be limited, and if you're a consumer you keep the rights your local law gives you.
If someone brings a claim against us because of content you uploaded or because you broke these terms, you agree to cover our reasonable costs of dealing with it.
These terms are governed by the laws of Texas, United States, and disputes go to the state and federal courts located there, unless your local consumer law gives you the right to sue at home. Talk to us first at support@dmworkbench.com; most things can be sorted out that way.
If we change these terms in a way that matters, we'll email account holders at least 14 days before the change takes effect. Carrying on using the service after that date means you accept the new terms. The date at the top always says when they were last revised.
